Privacy notice

A plain account of what happens to the details you send us for a quote.

Who we are

Lewis Sinclair trading as Sinclair Waste Management is the data controller responsible for the personal information you send through this website. Sinclair Waste Management is a sole-trader business, not a limited company. Contact us about privacy or your information at info@sinclairwastemanagement.com.

Lewis handles customer enquiries. BeniBrain provides technical support and system oversight, including access needed to maintain and support the enquiry system.

What we collect

When you request a quote we collect your name, telephone number, the postcode of the job, the type of clearance, your description of the job and, if you give it, your email address.

We also use essential form-security cookies and pseudonymous request, browser and contact identifiers to prevent duplicate submissions and abuse, and to limit confirmation emails. The private recovery interface uses an essential operator-session cookie. No advertising or analytics cookies are used by this enquiry system.

Why we use it

We use these details only to respond to your request and give you a quote. Our lawful basis is that processing is necessary to take steps you have asked for before entering into a contract (UK GDPR Article 6(1)(b)). We do not use quote requests for marketing and do not sell your details.

Security controls protect the service and the information entrusted to us, on the basis of our legitimate interests in preventing misuse (Article 6(1)(f)).

Who else handles it

  • Replit hosts our website and PostgreSQL enquiry database. A successfully submitted enquiry is saved in that database before email delivery is attempted. An email delivery problem does not remove the saved enquiry; Lewis can review it through the protected operator interface.
  • Resend processes transactional business notifications and, if you provide a valid email address, separate acknowledgements. The business notification contains your quote details; the acknowledgement contains a reference and limited service information, not your job description. Security limits can withhold an acknowledgement without losing your saved enquiry. Development form submissions use simulated delivery.

Email copies may also be held in our business mailbox and by the delivery provider. Hosting, email processing and backups may involve processing outside the UK; we do not claim UK-only storage.

How long we keep it

Our approved policy for website quote-enquiry records is 90 days from creation where the enquiry has been handled and its delivery operations are settled. Unresolved enquiries are escalated for review after 30 days. The absolute maximum is 180 days from creation, including unresolved enquiries and their local delivery-recovery information.

Lewis is responsible for enquiry handling and retention review, with technical oversight from BeniBrain. Deletion uses a protected process that avoids interrupting an active email operation; a blocked deletion requires prompt review. Independent scheduled enforcement is not yet provisioned, so automated deletion is not currently running. Until it is enabled, retention requires operator review and authorised action.

These periods apply to this website's quote-enquiry database, not to accounting records, invoices, unrelated customer records or information that must lawfully be preserved. Mailbox copies, provider records, logs, exports and backups have separate handling and deletion processes; deleting an enquiry here does not automatically erase those copies. Contact us about a specific record or an erasure request.

Your rights

Subject to the applicable conditions, you can ask to access, correct or erase your information, restrict its use, receive a portable copy, or object to processing based on legitimate interests. Email info@sinclairwastemanagement.com. We may need to verify your identity before acting. Rights are not absolute: we will explain any lawful reason why we cannot fulfil a request.

If you are unhappy with how we handle your information you can complain to the Information Commissioner's Office at ico.org.uk.
